This notice explains how and why we will collect and use your personal information and your rights in relation to your personal information. We may amend this notice at any time. What personal data will we collect and what do we do with it?

Entries must be delivered and received by Friday 14th January 2022, via post or hand to Lantra Scotland, Inveralmond Business Centre, Auld Bond Road, Perth, PH1 3FX, or electronically to scotland@lantra.co.uk. To administer entries to the competition, we require the following details to be provided on the reverse of submitted artworks or in the email accompanying the entry:

  • Pupil’s name
  • Category entered (Primary or Secondary)
  • School name
  • School address
  • School’s social media handles (where available)
  • Teacher's name and subject
  • Contact Email Address

These details are used throughout the competition process including collating a list of entries, contacting winners through their school or teacher, and producing promotional material including social media posts on the announcement of the competition winners.

Competition winners’ prizes will be sent to the school, and we ask that schools gather permissions from parents or guardians to take photographs at a prize-giving event for promotional activity. It is the responsibility of the schools to ensure parents and carers are asked for permission for the winner’s photograph to be taken and explain how the photograph will be used – a member of the Lantra team and a representative of the winner’s school will confirm this is in place on the winner being chosen.

Unfortunately, we are unable to return any entries received. All artworks, and the data provided on the reverse, will be securely destroyed once they are no longer required.

 

Legal Basis/Condition for Processing

All artworks must be submitted by an adult on behalf of the child. This will be a teacher or school staff member who has obtained the parent or carer’s consent to submit an entry on their child’s behalf. It is the responsibility of those schools to ensure parents and carers are told how their and their child’s data will be used, and to make them aware of this privacy notice. For the purposes of this competition, the school will remain the data controller for the pupil’s information – the school should obtain necessary permissions, they will be informed of where the data will be used and this should be passed on to pupils and parents/carers.

All data processing carried out by Lantra in relation to the Forestry and Aquaculture STEM Week – Schools Competition is undertaken either on the basis of consent, or to fulfil the terms and conditions of the competition which you accept when you submit and entry (our contract with you).

 

Who sees my data?

Your data is handled by a limited number of colleagues within Lantra Scotland for processing entries, notifying winners, and arranging the promotional activities for prize-giving with the pupil’s school. 

 

Partners

If your child is a prize-winner, their name and school will be shared with STEM Ambassadors in Scotland who are presenting Forestry and Aquaculture STEM Week with Lantra Scotland.  A data processing agreement is in place with STEM Learning UK.

 

International Transfers

Images of prize winners may be posted online and can therefore be viewed from anywhere in the world.  Other than that, we do not transfer personal data relating to this competition internationally.

 

How long will we keep the data?

Personal data of winners will be kept for a maximum of one year after the entry has been received. The data is kept for contacting the school with enquiries regarding purchase requests for the competition prizes.

 

What are my rights over access to the data you hold on me?

Where you have given consent for us to use your or your child’s personal data, you can withdraw consent for any future processing at any time.

Subject to some legal exceptions, you have the right:

  • To access the data we hold about you and to know what we are doing with it
  • To have any inaccuracies corrected
  • To have your personal data erased
  • To place a restriction on our processing of your data
  • To object to processing
  • To request your data to be ported (data portability)
